Example: 10 miles away is a 20-mile round trip per visit — £25 at the Dispatch rate, so the £50 minimum applies: £100 for delivery and collection, plus £25 for 30 minutes’ loading on each visit. £125 ex VAT, £150 inc VAT. Before we confirm, we ask for photos or details of parking, the loading point, doors, stairs and lifts.

3 Which van comes out

The load decides the van, and the van decides the rate.

Small van

Crockery, cutlery, glassware, linen and the smaller serving pieces. Most place-setting hires travel this way, even for a few hundred covers — it all stacks.

Large van

Ovens, hobs, fridges, hot cupboards, server units, barbecues, hog roast machines, trestles and bar units. One large item puts the whole load in the large van.

4 Access, and what we need to know

Most delays on the day are access, not traffic.

  • Photographs of the access route for large equipment. Ovens, fridges, hot cupboards and bars are heavy and wheeled — we need to see the door widths, the steps and where the van can stop before we load it.
  • Tell us about stairs, gravel, lifts and long carries. They change the crew and the time, and we would rather know a week early than on the morning.
  • Where the van can park, and any time window the venue enforces.
  • A contact on the day who will actually be on site and answering a phone.
