What we collect when you enquire or book, why, who sees it and how long we keep it.
Event Equip is a trading name of Four Seasons Catering Ltd, a company registered in England and Wales, company number 10319180, registered office 16 Holt Lane, Liverpool, L27 0YA. We are the controller of the personal information described in this notice. Questions about it go to [email protected] or 0151 230 1600 (option 2).
When you send an enquiry, a hire list or a booking request we collect your name, phone number, email address, delivery and collection address or venue, event date, the equipment you ask for, delivery and collection times, any notes you add, whether you agreed to our hire terms and when, and whether you asked to receive marketing emails.
When you hire from us we also keep records of payments, deposits, deliveries, collections, returns, cleaning, damage and losses for that booking.
To answer your enquiry, prepare your quotation and arrange, deliver and collect your hire (to take steps at your request before a contract, and to perform the contract).
To keep accounting, VAT and tax records (legal obligation).
To protect our equipment, deal with damage, losses and disputes, and keep our business records (our legitimate interests).
To send you offers and hire tips by email, only if you ticked the box asking for them (your consent). You can withdraw consent at any time by replying to any marketing email or emailing [email protected].
We do not sell your information. We share it only with the service providers that run our website and email (including our website host and our email delivery provider), with payment providers when you pay us, with our drivers or carriers to deliver and collect your hire, and with professional advisers, insurers or authorities where we are required or entitled to.
To price delivery, the postcode you type into the delivery calculator is sent to postcodes.io to work out the distance from our depot. The map on our contact page is provided by Google Maps, which may set its own cookies when it loads.
Booking, payment and accounting records are kept for six years after the end of the financial year they relate to, as required for tax purposes.
If you asked to receive marketing emails, we keep your name and email address on our mailing list until you unsubscribe or ask us to remove them.
Other enquiry details are kept for as long as we need them to deal with your enquiry and any follow-up.
Your hire list is saved in your own browser so it is still there when you come back. It is not sent to us until you submit it. You can clear it at any time from the hire list page or by clearing your browser data. We do not use advertising or tracking cookies.
You can ask for a copy of your information, ask us to correct or delete it, object to or restrict how we use it, ask us to transfer it, and withdraw marketing consent at any time.
